Is Remote Online Notary Legal in My State?
How Does Remote Online Notary Work?

For United States Citizens
If you are a U.S. citizen, you may validate your identity using a valid, non-expired, government-issued ID such as a U.S. Driver’s License or Passport. To comply with state laws, a second identity verification method is also required.
Depending on the notary’s authorization and technical capabilities, this may include Knowledge-Based Authentication (KBA), which is an identity quiz generated from U.S. public records tied to your personal history. The KBA quiz contains 5 questions with 5 possible answer choices per question and must be completed within 2 minutes. To pass, you must answer at least 4 out of 5 questions correctly. State laws limit quiz attempts to a maximum of two.
If your notary is legally authorized to use biometric identity verification, you will instead complete a secure selfie scan using the platform, which may include actions such as turning your head left and right.
If you do not have a valid ID, you may still verify your identity through the use of a credible witness, if permitted by the notary’s state laws. A credible witness is someone who personally knows you, possesses a valid government ID, and is able to complete the platform’s identity verification process. The witness will join the session online and swear (or affirm) under oath that you are who you claim to be. In most states, credible witnesses are not required to sign the main document.

For Foreign Nationals & International Citizens
If you are an international citizen (not a U.S. citizen), you are not eligible to use Knowledge-Based Authentication (KBA) quizzes for identity verification.
Instead, your identity must be confirmed using a valid, non-expired passport issued by your home country. Driver’s licenses or state-issued IDs from the U.S. are not acceptable for international citizens on a Remote Online Notarization (RON) platform.
The preferred method is to work with a notary who is legally authorized to perform biometric identity verification. In this case, you will complete a secure selfie scan through the platform, which may include guided actions such as turning your head left and right.
If biometric verification is not authorized in the notary’s commissioning state, you can verify your identity using a credible witness (if permissible with the Notary's Commissioned State). A credible witness must be a U.S. citizen who personally knows you, holds a valid government ID, and is able to join the online session to swear or affirm under oath that you are who you claim to be. Some states may require two credible witnesses. When allowed by the notary’s state, biometric verification may be used as an alternative to credible witnesses.

Remote Online Notaries use advanced identity-proofing methods that meet or exceed what is required in person. This includes credential analysis (verifying your government-issued ID), knowledge-based authentication (KBA). In some States Notaries have the option to do Biometric Verification in lieu of the KBA Questions, this is a process where after you upload your ID the system will have you take a selfie and use those images to compare your facial features to ensure you are you.

A notarization performed online by a commissioned U.S. Remote Online Notary is legally valid across all 50 states, and internationally. Online notarizations are enforceable everywhere, with their validity determined by the laws of the notary’s commissioning state. As public officials, notaries must follow their state’s laws when performing notarizations, and every state recognizes notarizations that are properly completed under the laws of another state. While online notarizations are widely accepted, some agencies or institutions may have specific internal requirements.

Online notarization is simply another way to carry out a notarization. A document notarized online holds the same legal validity as one notarized in the traditional, in-person manner. The enforceability of an online notarization is determined by the laws of the state where the notary is commissioned. As public officials, notaries are required to follow their state’s laws when notarizing documents, and properly executed notarizations are recognized across all states.

This is a common question. Unlike traditional notarizations, online notarizations do not use a physical embosser or raised seal. Instead, online notaries apply an electronic seal image and lock the document with their verifiable digital certificate, ensuring the document cannot be altered after the session and protecting it against fraud.

Our notaries use different technologies for online sessions. Some platforms allow multiple signers on the same device, while others require separate devices. If separate devices are needed, one signer can connect via the main computer, and the other can join using a smartphone to meet the platform requirements.

Yes! We can accommodate multiple signers, whether you’re all in the same location or spread across the world. Each signer must validate their identity and join the session at the same time, which can sometimes make scheduling tricky. If coordinating everyone at once is difficult, we can also arrange separate sessions to ensure each signer is properly verified, signs, and has their documents notarized.
